Summary

The Accounts Receivable and Accounts Payable (AR/AP) Manager is responsible for overseeing the end-to-end accounts receivable and accounts payable functions. This role ensures timely billing, collections, vendor payments, reconciliation, and financial reporting accuracy. The manager will lead a team, enforce compliance with internal controls, and collaborate across departments to ensure optimal cash flow and financial accuracy.

Key Responsibilities

Accounts Receivable (AR):

  • Ensure accurate and timely posting of incoming payments.
  • Monitor aging reports and follow up on overdue accounts.
  • Establish credit policies and manage credit risk.
  • Reconcile AR ledger and resolve discrepancies.
  • Prepare AR reports for internal stakeholders.

Accounts Payable (AP):

  • Manage vendor invoice processing and approval workflows.
  • Ensure timely and accurate payments in accordance with vendor terms.
  • Maintain vendor records and resolve discrepancies.
  • Oversee the reconciliation of AP sub-ledger to the general ledger.
  • Ensure compliance with tax and regulatory requirements (e.g., 1099s, VAT).

Banking

  • Pull lockbox images and lockbox data daily
  • Upload AR invoices from Blaze
  • Assist / Backup for other banking items:
  • Review for returned checks, distribute to the branches accordingly
  • Pull ACH drafts two-three times per week as necessary
  • Release wires/ach payments as needed for controllers
  • Pull monthly ACH draft for rent

Customer Credit Card Payment Reconciliation

  • Review bank items to cross check deposits are accurate for credit card deposits
  • Manage all chargebacks and disputes
  • Post all monthly fees associated with credit cards for all branches

Customer Collections

  • Send demand letters to customers
  • Manage all accounts with collection agency/lawyers
  • Review with dealership staff for Mechanic’s Lien
  • Review weekly with the AR team for all customer accounts
  • Work with the AR team when they need help to collect
  • Review collection software daily for any open tasks that are assigned to me
  • Send monthly collections report
  • Review Paccar Fleet customers for disputes and rejections daily
  • Maintain a biweekly letter series to distribute to past due customers
  • Review large credit holds with AR team 
  • Review AR accounts for credit limit increases 
  • Review open customer credit balances per the written policy

Leadership and Operations:

  • Supervise and train AR/AP staff.
  • Improve financial processes and implement best practices.
  • Collaborate with procurement, sales, and finance teams.
  • Assist in audits and ensure compliance with internal controls.
  • Support month-end and year-end closing processes.

Qualifications and Other Requirements

  • 2+ years of experience in AR/AP or general accounting
  • Proficiency in Excel
  • Strong understanding of GAAP and internal controls.

  • Ability to manage multiple priorities.
